Call Sheets
Send the call sheet and track confirmations
Email every crew member their own confirmation link, resend to one person at a time, and see who still needs to confirm.
Updated 2026-07-10
Sending a call sheet emails each crew member individually, with their own confirmation link and (if you entered one) their own rate. FirstSlate tracks who has confirmed, lets you nudge the ones who haven't, and keeps those confirmations intact even after you edit the sheet.
Sending to your crew
Click Send Sheet in the call sheet builder to open the send modal. It lists every crew member with an email address, along with their rate exactly as it will appear in their email, and flags anyone missing an email so you can fill it in before sending. If some crew are still missing an email, you can Skip missing and send to everyone else, or fill in the addresses and use Save & send all.
Each recipient gets their own email with a personal confirmation link. That link opens their own confirmation page, showing their call time, location, and (only to them) their rate, with a Confirm Attendance button.
Previewing before you send
From the send modal footer, Email me a test sends the crew-facing email to your own inbox using one of your existing crew rows as the example (or the first crew member if none matches your email), so you can see exactly what crew will receive before anything goes out to them.
Resending to one person
Each crew row in the builder has its own ⋯ menu (separate from the send modal) with Send sheet to [name] only, which emails only that person without touching anyone else's inbox or resending to the whole crew. If your plan includes deal memos, the same menu has Send deal memo (or Resend deal memo once one has gone out), for sending only the rate and booking terms without resending the whole sheet. See Deal memos: e-signed rates per shoot.
Tracking confirmations
The Crew section header shows a confirmed count (for example, 3/5 confirmed) once at least one person on the active day has confirmed, and each confirmed row shows a Confirmed tag. On the Callsheets list page, every sheet shows the same N/M confirmed count, and hovering it shows who's confirmed and who's still awaiting a response.
Reminder emails
The builder's Crew Reminders section lets you arm automatic reminders: 1 week before, 3 days before, Day before, and Morning of the shoot. On a multi-day sheet, the day-before and morning-of reminders each go out separately for every shoot day, and the morning-of reminder is timed relative to that day's own call time. Once a sheet is sent, you can also click Send reminder now to email everyone immediately, which includes each person's own call time and, for anyone who hasn't confirmed yet, their confirmation link. You can pause automatic reminders at any time with the toggle at the top of that section.
Getting notified when someone confirms
When a crew member confirms, you get a notification in the bell icon in the sidebar, and, if the Crew confirmed toggle is on under Dashboard → Settings → Notifications, an email as well.
Editing after you've sent
Confirmations are tied to each crew row and are never cleared by editing or resaving the sheet. If you change something after sending, the sheet shows an Unsent changes badge and the send button switches to Resend to crew. If the edit was minor (a typo, for example) and doesn't need a re-notification, open the ⋯ menu and choose Mark as reviewed to clear the badge without emailing anyone.
Common questions
Does resending reset who has already confirmed?
No. Resending, editing, or autosaving never clears a crew member's confirmation. Only a brand-new crew row starts unconfirmed.
What happens to confirmation links if I delete the call sheet?
They stop working immediately. FirstSlate warns you about this before you delete a sheet that was already sent.
Can crew see other people's rates on the call sheet?
No. Rates only appear on each crew member's own confirmation page, tied to their own token. The shared call sheet link never shows pay rates.
