Build a call sheet

A call sheet is the single document your crew opens on shoot day: production info, call times, locations, and who's on the crew. FirstSlate builds one per project, autosaves as you type, and gives every crew member their own confirmation link when you send it.

Where to find it

Dashboard → Callsheets → New call sheet, or open a project and go to its Call Sheet step. The New call sheet button lets you pick an existing project or create a new one on the spot, then drops you straight into the builder.

Sheet details

At the top of the builder you set the Title (defaults to the project's nickname with "Call Sheet" appended) and Production Company. Below that is the day and location block, which every call sheet has.

Shoot date, call times, and location

For a single-day shoot you fill in Shoot Date, General Call, Shooting Call, and Est. Wrap, plus a Location block: Location Name, GPS Coordinates, Full Address, Parking / Access Notes, and Basecamp / Logistics Notes.

For a multi-day shoot, click Add Day to add another tab (Day 1, Day 2, and so on). Each day gets its own date, call times, and location, and you switch between them with the day tabs. If you've added crew, a Crew Call Times block on multi-day sheets lets you override any individual's call time for that specific day, separate from their default.

Optional sections

Beyond the always-on sheet details and crew list, you can add sections as needed: Weather Forecast, Nearest Hospital, Key Contacts, Client / On-Site POC, Load-In & Access, Deliverables, Scene Schedule, Cast & Talent, Departmental Notes, Gear & Media, Meals, and Advance Schedule. Add them from the section menu, and remove one later with the X on its header without losing anything you typed into it, since removing only hides the section rather than deleting its data.

Weather Forecast is a field you fill in yourself (high, low, sunrise, sunset, conditions), not a live weather lookup. Load-In & Access is also where you can attach photos or maps, using the image uploader inside that section. There is no separate cover or header image for the sheet as a whole.

The Deliverables section, once added, pre-fills from your project's proposal if one exists, and you can edit it from there.

Crew

The Crew section is where you add crew members from your saved roster or as one-off entries, set their call time, department, and rate, and (on multi-day shoots) choose which days they're on. See Add crew with rates and day assignments for the details.

Autosave

The builder autosaves everything about two seconds after you stop typing, shown by a small Saving… / Saved indicator near the top. You don't need to click a save button, though a manual save happens automatically whenever you preview or send.

Preview, review, and send

The ⋯ menu next to the send button gives you Copy Link, Preview, and Delete. Preview saves your latest edits and opens the public page your crew will see. The Review button (Sparkles icon) runs an AI check against your project brief before you send. See AI review before you send.

When you're ready, Send Sheet opens a modal to email your crew. See Send the call sheet and track confirmations.

The public call sheet page

Once sent, your call sheet lives at a public link (/callsheet/[id]) that doesn't require a login. It shows the sections you enabled, Add to Calendar and Google Calendar buttons for the shoot date, and a Save PDF button so crew can download or print it. Pay rates are never shown on this shared page. Each crew member's own rate only appears on their personal confirmation page, reached through the link in their individual email.

Plan availability

Call sheets, including multi-day sheets and every optional section, are available on every plan. See Plans and limits for what differs by plan (deal memos and the AI proposal assistant are Pro and Studio features; the call sheet AI review described above is available on every plan).

Common questions

Can I have more than one call sheet per project?

No, FirstSlate keeps one call sheet per project. For a multi-day shoot, use Add Day inside that one sheet rather than creating a second sheet.

What happens if I delete a call sheet that was already sent?

Crew confirmation links stop working immediately and the public link shows a not-found page. This can't be undone, so FirstSlate warns you before deleting a sent sheet.

Does removing an optional section delete what I typed in it?

No. Removing a section only hides it. Add it back later and your entries are still there.
