Call Sheets
Add crew with rates and day assignments
Pull crew from your roster with their rates pre-filled, or add one-off names, and assign people to specific shoot days.
Updated 2026-07-10
The Crew section of the call sheet builder is where you decide who's working the shoot, what they're being paid, and (on multi-day shoots) which days they're on. Rates you enter here stay internal: they're never shown on the public call sheet your crew opens, only on each person's own confirmation page.
Where to find it
Open a call sheet from Dashboard → Callsheets, then scroll to the Crew section of the builder.
Adding crew from your roster or as one-off entries
Click Add from Roster to pick from crew you've already saved (Dashboard → Crew). Selecting someone fills in their name, role, email, phone, and default rate automatically. If the roster member is already marked unavailable on the shoot date, their entry shows a Conflict badge in the picker before you even add them.
Click Add New to add someone manually without saving them to your roster first. A one-off row without a rate on file shows fields you fill in by hand. Once you've typed a name for a one-off crew member, an Add to roster button appears so you can save them for next time without leaving the builder.
Full day and half day rates
Each crew row has a Full / Half toggle next to the rate field. This picks up the crew member's own half-day rate from their roster profile (Half day field in Dashboard → Crew), not a calculated 50% of their full-day rate. If a roster member has no half-day rate on file, the toggle shows a "no half day rate on file" note and you can still enter one manually for this sheet. The rate itself is a plain dollar amount you can edit per shoot, so it doesn't have to match what's saved on the roster.
Note: Pay rates are shared privately, one to one, with each crew member on their own confirmation page. They are never printed on the shared call sheet.
Assigning crew to specific days
On a multi-day call sheet, each crew row shows a row of day chips ("Day 1", "Day 2", and so on) under their name. Click a chip to toggle that person on or off that day. A crew member with no explicit day selection is treated as on every day of the shoot, which is also how crew added before a sheet became multi-day behave. You can't remove someone's last remaining day this way, since the trash icon on their row is the way to remove them from the sheet entirely.
The Crew section header shows how many of the crew are on the currently active day out of the total crew on the sheet, and the day tabs at the top of the builder let you switch which day you're looking at.
Call times
Each crew member has their own Call Time field, separate from the sheet's general and shooting call times, for cases like an early gaffer or a talent who arrives later. On multi-day sheets this becomes their Default Call, and a Crew Call Times block further up the builder lets you override that default for one specific day without changing it everywhere else.
Availability conflicts
If a roster crew member has unavailable dates recorded (Dashboard → Crew → Availability), and one of those dates matches the active shoot day, their row shows a conflict warning explaining they're marked unavailable on that date. This appears both in the Add from Roster picker and on their row once added, so you catch the conflict either way.
Reordering and removing crew
Use the up and down arrows on a crew row to change their order. On the public call sheet, crew are grouped by department, and the department order follows the position of its first member, so moving one person up can pull their whole department up with them. The trash icon removes a crew member; on a multi-day sheet with the member on more than one day, it only drops them from the active day until it's their last remaining day, at which point it removes the row.
Common questions
If I add someone from my roster, does editing their rate here change their roster default?
No. The rate on a call sheet row is specific to that sheet. To change what pre-fills next time, update the member's default rate in Dashboard → Crew, or use Add to roster the next time you're adjusting a one-off entry.
Do crew see each other's rates?
No. Each crew member's confirmation link is scoped to only their own row, so they only ever see their own rate, never anyone else's.
