Projects & Intake

Track everything from the Project Hub

See every stage of a job, when your client last looked at something, and work each document without losing your place.

Every project has its own page that lays out the job from first contact to final delivery, in order. This is where you spend most of your time on an active job: reviewing the brief, building the proposal and invoice, putting together the call sheet, and handling delivery, all without bouncing between separate sections of the dashboard.

Where to find it

Dashboard → Projects → [project]. You land here automatically after creating a new project.

The five stages

The page shows five numbered stage cards, in the order a job actually moves through:

  1. Brief: the intake answers, reviewed and approved before your client can see them. See review and send the project brief.
  2. Proposal (or Estimate, depending on which document type you sent): build, send, and track acceptance.
  3. Invoice: stays locked until the proposal is accepted or sent (or you explicitly bypass the proposal), then opens up for billing.
  4. Call Sheet: available any time, independent of where the job stands on the earlier stages.
  5. Delivery: share cuts for review, capture sign-off, and hand off final files, also available any time.

Each card shows a status pill (Draft, Sent, Viewed, Accepted, Paid, and so on) so you can tell a job's state at a glance without opening anything.

See when your client engages

Once you send a document, its card starts tracking activity: a "Sent · Viewed" pill (with a count if they've opened it more than once), and a summary showing first viewed, last viewed, and total views. On the Proposal stage, if you've attached example clips, the card also lists each one your client has watched, with how many times and when.

Work without leaving the page

A small copy-link icon grabs the client-facing link straight to your clipboard: on the Proposal card once it's sent, on the Delivery card once it's shared, and on the Brief card while you're waiting on your client's answers (that one copies the intake link). Once a brief is approved, copy its link from the full brief page instead, as described in review and send the project brief. Opening the call sheet builder (or the invoice builder from a quick-action elsewhere in the dashboard) slides a builder in over the current page in a drawer, so you can make edits and come right back to the Hub instead of navigating to a separate page. The Invoice stage's main button on the Hub always takes you to the full invoice builder page instead.

Plan availability

The Project Hub itself is available on every plan. Some individual actions are plan-gated, for example online payments on the Invoice stage and deal memos on the Call Sheet stage, each noted where it comes up. See plans and limits.

Common questions

Why is the Invoice card locked?

The Invoice stage stays locked until the proposal has been sent or accepted. If you already have an agreement in place outside FirstSlate, there's a bypass option on the Invoice card to unlock it early.

What's the difference between a Proposal and an Estimate stage?

They share the same stage slot and card. FirstSlate labels it based on which document type you started with. See estimates vs proposals for how the two differ.

Can my team members see the same Hub I do?

On a Studio workspace, team members work from the same Project Hub. A Limited team member won't see pricing-sensitive cards like Invoice, Proposal amounts, or Payouts. See team workspaces.
