Notifications and email preferences

What lands in your notification bell, which events email you, and how to adjust your preferences.

Updated 2026-07-10

FirstSlate keeps you posted on client and crew activity two ways: the notification bell in the sidebar, which is always on, and email alerts, which you can turn on or off event by event.

The notification bell

Click the bell icon near the top of the sidebar to open your notifications. It logs activity like a client opening or submitting an intake form, signing a proposal, viewing or paying an invoice, a crew member confirming a call sheet, and a client approving a delivery or requesting changes. Unread items show a blue dot; click one to jump straight to the related project, proposal, invoice, or call sheet. Use All read to clear every unread item at once. Bell notifications fire regardless of your email preferences below, they're always on.

Where to find email preferences

Open the account menu at the bottom of the sidebar, choose Settings, then open the Notifications tab. On a Studio workspace this tab is owner-only: teammates don't see it, and the preferences below apply to the workspace as a whole, both the bell and the email alerts go to the owner.

Choosing which events email you

Each toggle controls one event:

  • Intake form opened: when a client first opens the intake form you sent.
  • Intake form received: when a client submits your intake form.
  • Proposal signed: when a client accepts and signs your proposal.
  • Invoice viewed: when a client opens your invoice for the first time.
  • Invoice paid: when a client pays an invoice online.
  • Crew confirmed: when a crew member confirms their call sheet.

Toggle any of these off if you'd rather rely on the bell alone. Changes save immediately, you'll see a Saved confirmation after each toggle.

Reminders sent to your clients

A separate toggle, Automatic proposal reminders, controls whether FirstSlate emails your clients on your behalf: a nudge the day before a proposal or estimate expires, and a recovery note the day after if it lapses. This is on by default. Turning it off stops those automated emails to your clients, it doesn't affect the alerts you receive yourself.

If you're in the beta program

Beta testers see an extra Beta program section with two more toggles: Messages on feedback (when the FirstSlate team replies to your feedback) and Product updates (when FirstSlate posts a new feature announcement).

Common questions

Can I turn off the notification bell entirely?

No, in-app bell notifications always fire. The Notifications tab only controls which of those events also send you an email.

Will my crew or clients get spammed if I turn everything on?

No. These preferences only affect emails sent to you, the producer. Emails to your clients and crew (proposals, invoices, call sheets, confirmations) are separate and go out whenever you send those documents, regardless of your notification settings.

I'm a Studio teammate. Do I have my own notification preferences?

No. The bell is shared across the whole workspace, so teammates see the same activity feed as the owner, and email alerts always go to the owner's inbox. Only the owner can open the Notifications tab and change what emails out.
