Send a proposal and track opens

Send by email or link, see when your client opens it, and update a proposal after it's been sent.

Once a proposal or estimate is priced and ready, sending it opens a review step first: FirstSlate shows you the exact email your client will receive before anything goes out, plus a direct link you can share instead.

Where to find it

In the builder, click Send Proposal (or Send Estimate, depending on the document type) in the top action bar. This opens a modal with a Preview as client link, a Copy Link button for the direct URL, and the recipient, subject, and message fields for the email itself.

Sending

You have two ways to get the document to your client:

  • Email: fill in the recipient and an optional personal message, then send. The dialog always shows a live preview of the actual email before you send it, matching what your client will receive.
  • Direct link: click Copy Link to grab the document's URL and share it however you like, useful if you'd rather paste it into an existing email thread than have FirstSlate send one.

Every proposal has one canonical link that stays the same across edits and re-sends, so a client who bookmarked it or a link you pasted somewhere earlier keeps working.

What your client's email looks like

If the proposal has no optional add-ons, the email states your base price directly. If it has add-ons, the email leads with "Starting at" your base price, since the final total depends on what your client chooses on their page.

Tracking opens and engagement

Once sent, the Project Hub shows whether the document has been opened: a Viewed badge with the date, and if it's been opened more than once, first-viewed, last-viewed, and total view counts. If you attached example media (a video or image) to any line items, the Hub also lists which ones your client watched and how many times, a signal for what they're actually interested in before you follow up.

FirstSlate does not send you a real-time alert the moment a client opens the document. Check the Project Hub for the latest view status.

Updating after you've sent it

Once a proposal is sent (or accepted), the builder becomes read-only, so you can't edit it in place. To make a change, click Recall in the top action bar. This pulls it back to Draft; your client's existing link will show a "Proposal Updated" message until you finish editing and send the revised version. The link itself never changes, so you don't need to resend a new URL.

Common questions

If I recall a sent proposal, does my client lose access to it?

They keep the same link, but it shows an "updated" placeholder until you re-send. Nothing they already accepted is lost, since accepted proposals can't be recalled (see below).

Can I recall a proposal my client already accepted?

No. Once a proposal is Accepted, it's frozen as the legal record of what was agreed to. Scope changes after that point go through change orders instead of editing the original document.

Does the client see how many times they've opened it?

No, view counts and example-media engagement are visible only to you, in the Project Hub.
